This privacy policy explains how RENTRASPA collects, uses and protects your personal data when you visit rentraspa.com, order from us, or contact us on WhatsApp, phone or email. RENTRASPA is a brand owned by elements5, S-6, 3rd Main Road, Thiruvalluvar Nagar, Thiruvanmiyur, Chennai 600041, Tamil Nadu, India ("we", "us"). We handle personal data in line with India's Digital Personal Data Protection Act, 2023 and the rules made under it, and the Information Technology Act, 2000.

Our principles

  • We collect only the data we need to sell, deliver and support your order, and to tell you about our products if you agree to hear from us.
  • We do not sell your personal data.
  • You can ask to see, correct or delete your data, and you can withdraw your consent at any time.

What we collect

  • Contact and order details: your name, phone number, email address, shipping and billing addresses, company name and GSTIN (if you provide one), and the products, quantities and prices you order or enquire about.
  • Account details: if you create an account on our website, your login details and order history.
  • Messages: what you send us on WhatsApp, phone, email or our website forms, including photos of your product or artwork.
  • Payment information: payments are processed by our payment partners (such as PhonePe). We receive confirmation of payment and limited transaction details, but we do not see or store your full card, UPI or bank login details.
  • Website usage data: your device, browser, IP address and the pages you visit, collected through cookies and similar technologies (see "Cookies" below).
  • Reviews: if you leave a review, your name, rating, comments and any photos you upload.

Why we use it

  • To process, ship and invoice your orders (including GST invoices), and to send order, payment and delivery updates by email, SMS or WhatsApp.
  • To answer your enquiries, prepare quotes and proforma invoices, and handle returns, replacements and refunds.
  • To keep records we are required to keep by law, such as tax and accounting records.
  • To run, secure and improve our website, and to understand which products and pages are useful to our customers.
  • With your consent, to send you offers, new product updates and catalogues. You can opt out at any time using the unsubscribe link in an email or by telling us on WhatsApp.

Who we share it with

We share personal data only with service providers who help us run the business, and only for the purposes above:

  • Our e-commerce platform (Shopify) and website apps that power reviews, wholesale pricing, search and site features.
  • Payment partners that process your payments.
  • Courier and logistics partners, including India Post, that deliver your order.
  • Our accounting and inventory software (Zoho) and our messaging providers (such as WhatsApp).
  • Analytics and advertising providers (such as Google) that help us measure and improve our website and marketing.
  • Government authorities, regulators or courts where the law requires it, for example tax authorities.

Some of these providers store or process data outside India. Where they do, we use reputable providers and transfer data only as permitted under Indian law.

Cookies

Our website uses cookies to keep your cart and login working, to remember your preferences, and to measure how the site is used. Analytics and marketing cookies help us understand which pages and products are useful and show relevant ads. You can control or delete cookies in your browser settings; if you block essential cookies, parts of the website, such as the cart and checkout, may not work.

How long we keep it

We keep order, invoice and tax records for as long as Indian tax and accounting laws require (usually at least 8 years). We keep other personal data, such as enquiries and marketing preferences, only for as long as we need it for the purposes above, after which we delete or anonymise it.

How we protect it

We use reasonable security safeguards, including encrypted (SSL) connections on our website, access controls on our systems and trusted service providers. No method of transmission over the internet is completely secure, but if a personal data breach affects you, we will inform you and the authorities as required by law.

Your rights

You can ask us to:

  • tell you what personal data we hold about you and how we use it;
  • correct, complete or update your data;
  • delete your data, unless we must keep it by law (for example, invoices);
  • withdraw any consent you have given, such as for marketing messages;
  • nominate another person to exercise these rights on your behalf if you are unable to.

To make a request, contact us using the details below. We will respond within the time allowed by law, and in any case within 90 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

Children

Our website and products are intended for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, please contact us and we will delete it.

We may update this policy from time to time. The latest version will always be on this page, and we will tell you about significant changes where required.
